1Introduction

1.1This Privacy Policy explains how EvoltriX collects, uses, shares and protects personal information when you visit our website or use our digital marketing, website, social media, Google Business Profile, paid advertising and graphic design services. We aim to handle your information responsibly and in line with UAE data protection law.

1.2EvoltriX is a digital marketing agency registered in the Ajman Free Zone, UAE, serving businesses across the UAE. We do not have a public office. We work remotely, by phone, WhatsApp, email and video call.

1.3This policy applies to information collected through evol-trix.com, email, phone, WhatsApp, Botim, social media and other contact with us. It applies to our team, contractors and partners who handle personal information for us.

1.4For this policy, “personal information” means information that identifies you or can reasonably be linked to you.

2Information We Collect

2.1Information you give us:

  • Contact details: your name, email address, phone number and WhatsApp number.
  • Business details: your company name, job title, industry and website.
  • Project information: goals, brand materials, access to accounts and anything else you share so we can do the work.
  • Billing records: invoices and payment records. We do not store full card numbers. Payments go through a third-party payment provider or bank transfer.

2.2Information collected automatically when you visit our website:

  • Log data: IP address, browser type, device, pages visited and time spent on the site.
  • Technical data: operating system and approximate location at city or country level.

2.3We review automatic data in aggregate. We do not use it to identify you personally.

2.4We do not knowingly collect sensitive personal data through our website, and we ask you not to send it to us. If you send it by mistake, tell us and we will delete it.

3Cookies and Analytics

3.1We use cookies and similar technologies. Cookies that are strictly necessary to run the website do not need your consent. We load analytics and advertising cookies only after you agree through our cookie banner. You can change your choice at any time. Our Cookie Policy lists each cookie in detail.

3.2We use Google Analytics 4 (GA4) to understand how visitors use evol-trix.com. GA4 sets a first-party cookie, called _ga, to tell visitor sessions apart. It records pages viewed, time on site and engagement events such as scrolling, outbound link clicks and file downloads.

3.3GA4 estimates your location at city or region level from your IP address, and then discards the full address. It also records your device, browser and operating system, and how you reached us, such as search, direct or social referral.

3.4Standard analytics does not capture your name, email address or phone number. If you send us the contact form, we receive those details from the form. We do not link them to analytics data by default.

3.5Our GA4 property has a setting for user-provided data collection switched on, but it is not currently sending data. If we ever begin using it, hashed identifiers such as an email address or phone number could be matched with Google for advertising measurement. We will update this policy and ask for your consent before that happens.

3.6Google Ads and Google Signals. GA4 is linked to our Google Ads account, with Google Signals and ads personalisation switched on. If you agree to analytics and advertising cookies, and you are signed in to a Google account, Google may associate your visit with that account. This can include approximate location and information from other Google products and partner sites.

3.7Remarketing. If you agree, audiences built from visits to certain pages may be shared with our Google Ads account, so that we can show EvoltriX adverts to you on other sites and apps in Google’s network.

3.8Search Console. GA4 is also linked to Google Search Console, which gives us aggregate data about the search terms people use to find the site. It does not set cookies of its own and does not feed advertising.

3.9You can manage ad personalisation in your Google Ads Settings, review or delete activity in your Google account’s My Activity page, install Google’s Analytics Opt-out Browser Add-on, or change cookie settings in your browser. You can read about how Google uses data in Google’s own privacy policy and in its page on how Google uses information from sites or apps that use its services.

3.10If we add tools beyond Google’s products, such as another advertising platform’s tracking tag, we will update this section and our cookie banner before they are used.

4How We Use Your Information

4.1We use personal information to:

  • Respond to enquiries and prepare quotes and proposals.
  • Deliver the services you have asked us to provide.
  • Communicate about projects, including updates, reports and invoices.
  • Understand how our website is used, and improve it.
  • Send you marketing messages, where you have agreed or where the law allows.
  • Meet our legal, tax and regulatory duties in the UAE.

4.2We do not use your information for purposes that are incompatible with these, unless we tell you first and, where required, ask for your consent.

4.3We do not make decisions about you using automated processing that has a legal or similarly significant effect on you.

5Our Legal Basis for Using Your Information

5.1We handle personal information under UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (the “PDPL”). We rely on one or more of the following, depending on the situation:

  • Consent: for marketing messages, and for analytics and advertising cookies, including remarketing. You can withdraw consent at any time.
  • Contract: where we need the information to provide the services you have asked for, or to take steps at your request before a contract.
  • Legal obligation: where UAE law requires us to keep or disclose information, such as tax and accounting records.
  • Legitimate interests: for everyday operations such as site analytics, security and preventing fraud, where this does not override your rights.

5.2Where we serve international clients, we aim to follow recognised international standards, including the GDPR for clients in the European Union where it applies.

6How We Share Information

6.1We do not sell your personal information.

6.2We share information only as described here, and only what is needed:

  • Service providers: hosting, email, communication and payment providers, and Google, for analytics, remarketing and conversion tracking through GA4, Google Ads and Search Console.
  • Subcontractors and partners: specialists we bring in for a specific project, who are required to protect the information.
  • Legal requirements: where UAE law, a court order or a valid request from an authority requires it.
  • Business changes: if our business is merged, acquired or sold, client information may transfer to the new owner. We will tell clients about material changes.

7When We Work on Behalf of Clients

7.1When we run advertising, manage social accounts or build websites for a client, we may handle personal information about that client’s customers, such as people who send enquiries or fill in lead forms. In that case the client decides why and how the information is used, and we handle it only on the client’s instructions and under our written agreement.

7.2If you are a customer of one of our clients and want to use your rights, please contact that business directly. You can also contact us and we will pass your request on.

8Transfers Outside the UAE

8.1Some of our providers, including Google, process information outside the UAE. When personal information is transferred abroad, we do so in line with the PDPL, relying on the transfer mechanisms it allows, such as a recognised adequate level of protection, contractual safeguards or your consent, as applicable.

8.2You can ask us which providers receive your information, and where they are located, using the contact details below.

9Data Security

9.1We take reasonable steps to protect personal information, including:

  • Limiting access to team members who need it.
  • Using password-protected tools.
  • Encrypting transmissions with HTTPS.
  • Reviewing our practices from time to time.

9.2No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

9.3If a data breach affects your information, we will assess its impact and notify the people affected and, where required, the UAE authorities, including the UAE Data Office.

10Data Retention

10.1We keep personal information only as long as we need it for the purposes in this policy:

  • Enquiries that do not become projects: kept for a reasonable period, then deleted.
  • Clients and projects: kept for the working relationship and a reasonable period afterwards, for service, reference or legal records.
  • Billing records: kept for as long as UAE financial and tax rules require.
  • Marketing data: kept until you unsubscribe or opt out, then removed from our active lists.

11Your Rights and Choices

11.1Under the PDPL and other applicable law, you may have the right to:

  • Access: ask what personal information we hold about you and how we use it.
  • Correction: ask us to correct information that is inaccurate or incomplete.
  • Deletion: ask us to delete your information, subject to legal or contractual duties to keep it.
  • Restriction and objection: ask us to restrict, or object to, certain uses, including direct marketing.
  • Portability: ask for your information in a structured, commonly used format, where the law provides for it.
  • Withdraw consent: withdraw consent at any time, where we rely on consent. Withdrawing does not affect processing that happened before.
  • Opt out of marketing: use the unsubscribe link in any message, or contact us.

11.2To make a request, contact us using the details below. We may need to confirm your identity first. We will reply within a reasonable time and in line with the PDPL.

11.3If you are not satisfied with our response, you may complain to the UAE Data Office. We would welcome the chance to put things right first.

12Children’s Privacy

12.1Our services are intended for people aged 18 and over. We do not knowingly collect information from children. If we learn that we have collected a child’s information without the required consent, we will delete it promptly.

13Third-Party Websites and Tools

13.1Our website and communications may link to third-party platforms and tools, such as social media, scheduling tools and project management software. We are not responsible for their privacy practices, and we encourage you to read their policies.

14Legal Compliance and Governing Law

14.1This policy is governed by the laws of the United Arab Emirates, including the PDPL. If a dispute about this policy cannot be settled informally, it will be dealt with as set out in our Terms and Conditions.

15Changes to This Policy

15.1We may update this policy when our practices, tools or the law change. The “last updated” date at the top shows the latest revision. If we make a material change, such as using your information for a new purpose, we will tell you and, where required, ask for your consent.
